Cosmetic OEM/ODM Factory - Frequently Asked Questions (FAQ)

We specialize in providing high-quality, efficient cosmetic product development, manufacturing, and packaging solutions for brand clients. Below are answers to common questions regarding our business cooperation, ensuring clarity and smooth collaboration:

1. About Samples
Q: Can you provide free samples?

A: We understand the need to evaluate samples. For standard packaging with existing formulas, we may offer a limited number of free samples (client responsible for shipping). However, samples involving custom formulations, custom packaging, or special requirements incur material, labor, and sampling costs. Sample fees are required in these cases. Fees are determined by complexity and are non-refundable. Shipping for all samples is Freight Collect (FOB Origin).

A: Standard samples typically require 5-10 business days. Custom packaging molds, specialized raw material sourcing, or complex formulation adjustments will extend this timeline. The timeline starts upon receipt of confirmed sample specifications (including formula, packaging specs) and necessary sample fees/pre-payment.

Q: What is your Minimum Order Quantity (MOQ)?

A: Order MOQ is primarily determined by the supplier MOQ of your chosen packaging materials. Different materials, specifications, and finishing processes (bottles, jars, caps, pumps, tubes, cartons, labels, etc.) have specific MOQs, typically ranging from 3,000 - 10,000 units/item or higherWe cannot accept orders below the packaging supplier's MOQ. The final order MOQ is based on the confirmed MOQ of the specific packaging components.

A: If your order quantity is below the packaging MOQ, you have two options:

    • Option 1: Increase your order quantity to meet the packaging MOQ.

    • Option 2: Purchase the full MOQ quantity of packaging materials. You must pay for and take delivery of the full MOQ quantity of packaging, even if your finished product order is smaller. These excess materials ("packaging inventory liability") become your property and responsibility for storage. We may offer short-term warehousing (additional fees apply), and they can be used for future orders. The factory cannot bear inventory risk or costs arising from client orders failing to meet packaging MOQs.

A: MOQ is per individual SKU (Stock Keeping Unit/item). Each SKU must meet the MOQ requirement of its specific packaging components. There is no minimum total order value, but all ordered SKUs must meet their respective MOQs.

Q: Do you offer Cash on Delivery (COD)?

A: We do not offer COD under any circumstances. All orders require payment in full prior to dispatch. A deposit (typically 30%-50% of the order value) is required upon order confirmation to secure raw materials and packaging. The final balance must be paid in full before production completion and goods leave our factory. Receipt of full payment is mandatory for shipment release. For large orders, staged payments may be negotiable, but title of goods remains with the factory until full payment is received.

A:Product pricing depends on several key factors:

  • Formula cost (raw material grade, complexity)

  • Packaging cost (material, specification, finishing, printing, MOQ)

  • Filling and packaging complexity

  • Order quantity

  • Testing and certification requirements

  • Customization fees (design, special sampling, etc.)
A detailed quotation will be provided based on your requirements. Prices are valid as per the quotation's validity period.

Q: If we provide the formula/raw materials, how is quality liability assigned?

A: If the formula or key raw materials are client-provided, the client must guarantee their legality, safety, stability, and provide complete technical specifications and QC reports. The factory will strictly follow the client-provided formula and process. However, the factory bears no responsibility for inherent defects, intellectual property issues, or non-compliance of the client-provided formula/materials. Product liability, recalls, claims, and losses arising from client-provided formula/materials are solely the client's responsibility.

A: If packaging is client-specified or provided, the client must ensure it complies with relevant regulations (e.g., food contact standards), is of acceptable quality, and is compatible with the formula (requiring compatibility test reports provided by the client or arranged by the factory at client's expense). The factory accepts no liability for quality defects, compatibility issues, or resulting product losses (e.g., leakage, deterioration) stemming from client-provided packaging.

A: We strictly adhere to quality management systems (e.g., ISO 22716). Every batch undergoes rigorous final inspection (typically covering appearance, odor, viscosity, pH, fill weight, etc.) before dispatch, with a Certificate of Analysis (COA) provided. The client or their designated representative must inspect goods upon receipt. Claims regarding final inspection parameters must be raised within 7 business days of receipt, supported by a written report and physical evidence. The factory is not liable for issues caused by factors beyond its control (e.g., improper transportation/storage by client, unauthorized additions by client, use beyond shelf life, issues with client-provided packaging). For defects confirmed to be the factory's responsibility (limited to final inspection parameters) within the warranty period, the factory will rectify as per the contract (e.g., replacement, refund) but excludes consequential damages (e.g., client compensation, market loss).

Q: What is the process for customizing a new product?

A: Standard Process: Requirement Discussion -> Quotation & Confirmation -> Contract Signing & Deposit Payment -> Packaging Confirmation/Mold Creation -> Formula Development/Confirmation -> Sample Production & Approval -> Bulk Production -> Final Payment -> Inspection/Dispatch. Timely client confirmation and cooperation are essential at each stage.

A: As a licensed manufacturer, we possess valid Cosmetic Production Permits and necessary certifications. We can provide stamped copies of our Business License and Cosmetic Production Permit for client registration purposes. Brand authorization (Trademark Usage Authorization) must be provided directly by the trademark owner. The factory acts solely as the contract manufacturer.

A: IP for formulations within the factory's existing library belongs to the factory. If a client selects a factory formula for ODM production, the client typically receives a license to use that formula for the specific ordered product(s), but ownership remains with the factory. Clients cannot disclose the formula to third parties or use it with other manufacturers without written permission. IP ownership for custom-developed formulas must be explicitly defined in the development contract.

A: The lead time commences once we receive the deposit, finalize all details (approved packaging artwork/sample, formula, label copy, etc.) and have the packaging/raw materials physically available. Standard products: 30-60 days. New products or those requiring custom packaging molds take longer (add 15-45+ days). The specific lead time is confirmed upon order placement. Delays from packaging suppliers, client approval delays, or force majeure events may extend the lead time.

A: We implement strict in-process controls and final inspection (as above). For finished product safety and efficacy claims required by target markets (e.g., China NMPA filing/registration, EU CPNP notification, US FDA compliance), clients must arrange and fund necessary third-party testing (e.g., microbiology, heavy metals, stability, toxicology, efficacy) with accredited labs. The factory can assist with logistics, but the client is the responsible party for testing and compliance.
